The Sea Pines Resort’s Guest Policies
Rental Agreement and Terms & Conditions
- Deposits: Home and villa rentals require a 50 percent deposit at the time of booking to guarantee the reservation. Deposits will be refunded for reservations canceled at least 91 days prior to arrival for villas and 121 days prior for homes.
- Methods of Payment: The Sea Pines Resort accepts Visa, MasterCard, American Express, Discover cards.
- Final Payment: Final payment is due 30 days prior to arrival.
- Cancellations: Deposits will be refunded for reservations canceled at least 91 days prior to arrival for villas and 121 days prior to arrival for homes. Reservations canceled within this period will forfeit the 50 percent deposit. Reservations canceled within 30 days of arrival will forfeit the full rental amount.
- Accommodation Changes: You may change your accommodation free of charge if you do so within the terms of the cancellation policy. Any modification to an accommodation is subject to availability at the time the modification is requested and may change the rate and/or require payment of cancellation fees. Please see above regarding cancellation fees.
- Age Requirement: Guests must be 25 years of age or older to book accommodations at The Sea Pines Resort. This includes home and villa rentals, as well as The Inn & Club at Harbour Town.
- Capacity: All homes and villas have a maximum occupancy. The maximum occupancy is based upon the number of people the property sleeps, as stated on the property description. Exceeding occupancy can result in additional fees and penalties charged to the guest's credit card. The maximum occupancy does not include sleeper sofas.
- Check-In: Check-in begins at 4pm. If you arrive early, you are welcome to enjoy the resort's amenities, you will be notified by phone when you should return to the front desk to pick-up your keys.
- Check-Out: Check-out is 10am. Late check-outs are not guaranteed and are provided based on availability. If a late check-out is provided upon request, a late checkout fee will apply.
- Peace of Mind Fee: The Peace of Mind Fee covers accidental damages to vacation properties, up to $1,000 per reservation. These include damages such as accidental carpet spills, furniture, broken glass, window treatments, appliances, and damages caused by a dog, in a DOG FRIENDLY vacation property. This fee does not cover intentional property damage or damage caused by a dog, in a NON-DOG FRIENDLY vacation property. A required, non-refundable fee will be charged at the time of booking.
- Nearby Development & Construction: The Sea Pines Resort is a highly desirable and growing area. Construction or renovation may occur near rental properties. The Resort cannot control the timing, noise level, or location of nearby development. No refunds, relocation, or compensation will be offered due to construction activity in the area.
- Pet Policy: Dogs, including service and therapy dogs, are permitted in designated homes and villas. A dog friendly unit can be identified using the filters on the home and villa property search and selecting 'dog friendly.' The pet policy permits one dog, less than 50 lbs. in dog friendly villas; no other type of pet is permitted. A non-refundable fee will be charged at the time of the reservation based on the size of the units.
- Housekeeping: Your home or villa will be cleaned prior to your arrival, and after your departure. For an additional charge, maid service is available during your stay. Washers and dryers are provided within the rental or rental complex. Bed and bath linens, as well as a starter supply of soap and bath tissue, are provided.
- Repairs and Mechanical Failures: While The Sea Pines Resort utilizes the best maintenance personnel available, even new or well-maintained equipment may occasionally malfunction. All issues will be addressed as promptly as possible once reported. Please note: Agent, employee, or authorized repair personnel may enter the premises during business hours for maintenance or repair purposes. No refunds or rental rate adjustments will be issued due to malfunctioning equipment or guest dissatisfaction. Should any mechanical failure occur that impacts the guest's stay, The Sea Pines Resort will make reasonable efforts to assess and resolve the issue in a timely manner. Guests must report any issues during their stay for consideration. No compensation will be provided for unreported disturbances or issues raised after departure. This includes but is not limited to cable/internet/phone service outages (Spectrum, Hargray, etc.), HVAC malfunctions, appliance failure, pool/spa equipment issues, and trash collection delays.
- Pool & Spa Heat: For an additional surcharge, you may elect to heat the pool in your vacation home for reservations from September to May (not available in June, July and August). The cost to heat the pool or spa at your vacation home is not included in the lodging rate. Pools are approximately $800 to heat, and a spa is approximately $400. Please note, spa needs to be heated for jets to operate. If you choose to heat the pool at your vacation home, the surcharge will be processed at the time of the request. An additional $75 fee will apply if pool or spa heat is requested within 24 hours of arrival. Due to mechanical issues, if pool/spa heat is not operational, only the unused portion of the heat fee will be refunded. No adjustment will be made to the rental rate. If outside temperatures drop below 60°F, pool/spa heat may be ineffective. No refund will be issued in these cases. Spa jets will not function unless spa heat is activated. Pools and spas are dual systems: When the spa jets are on, heat is directed to the spa only. When jets are turned off, heat returns to the pool.
- Complex Pools: Maintained by the regime. The Sea Pines Resort is not responsible for pool closures or amenity availability in complexes or communities. No refunds will be given for such closures.
- Elevator Access: Private homes do not offer elevator access. Villa complex elevators are managed by the complex regime and are considered an amenity. Elevator operation is subject to safety and mechanical availability and cannot be guaranteed. No rental rate refunds or adjustments will be made due to elevator outages.
- Sleeper Sofas: Bed linens for sleeper sofas must be requested prior to arrival, as they are not included. There is a fee of $28 per additional set of linens. Towel sets are provided; additional towel sets are $28 each.
- Trailers & Recreational Vehicles: Please note that Sea Pines prohibits trailers, recreational vehicles with an electrical or water hook-up, motorcycles, scooters, and mopeds.
- Community Services Associates (CSA): Please note that Community Services Associates (CSA) is not affiliated with The Sea Pines Resort and provides additional rules and regulations governing the community, as well as gate access.
Guest Policies
1. Rental rates provided, when confirmed by receipt of deposit, are applicable only as they relate to the number of guests, time period, the type of reservation and accommodation as shown. Any changes may result in a rate change.
2. The guest understands that the Resort will exercise every reasonable precaution in the avoidance of error in preparation and confirmation of reservations. However, errors may, from time to time, occur. In the event an error is found, the Resort reserves the right to make such corrections as may be indicated without loss to the Resort. Notification of such correction will be provided to the guest at the earliest possible time, but no later than the date of the guest’s arrival.
3. The guest understands that should the premises become unavailable for their use through owner's sale of premises, owner occupancy or other circumstances beyond the reasonable control of the Resort, the Resort may substitute accommodations with best available, comparable resort accommodations for the same period.
4. Guests must be 25 years of age or older to book accommodations at The Sea Pines Resort. This includes home and villa rentals, as well as The Inn & Club at Harbour Town.
5. Neither the Resort nor owner shall be responsible for providing any additional furnishings or equipment not available presently in the residence.
6. Sea Pines Community Associates, Inc. (Sea Pines CSA) Community Rules and Regulations.
a. Shooting of fireworks and carrying of firearms are prohibited.
b. No power vehicle of any kind may be driven on the beach.
c. Electric bicycles, mini-bikes and motorcycles are not permitted.
d. Boat trailers, U-Haul trailers (or their like), campers, recreational vehicles, buses, etc. will be parked as directed by Resort security personnel.
e. The occupancy of the premises and use of community walkways to the beach, and use of the beach shall be sufficiently quiet and peaceful so as not to disturb the other residents of the neighborhood and their guests in the enjoyment of their vacation and facilities of the Resort.
f. Hanging clothes and towels from the railings and other structures is prohibited.
7. Guest understands that if any member of their party violates any of the conditions or agreements of the confirmation or limitations in the description of Owner's property, the owner or Resort may terminate the agreement and enter the premises by force or by statutory proceedings.
8. The Resort will not be liable for theft of valuables. The Sea Pines Resort Welcome Center maintains safe-deposit boxes for securing guests' valuables. The Resort assumes no responsibility for articles/items left in safe-deposit boxes.
Resort Dress Code
Dining Establishments
The Sea Pines Resort offers a friendly, relaxed atmosphere; however, we kindly ask that you wear appropriate attire while dining at our restaurants.
We thank you and hope that you will find these requests to add to the enjoyment of your visit, as well as complement the resort experience.
Proper Resort Attire:
Proper resort attire does not include t-shirts, workout or swim apparel.
Gentlemen are asked to wear a collared shirt or collarless dress shirt. Proper resort attire does not include t-shirts, tank tops, workout or swim apparel. Men’s hats are not permitted when dining inside.
Casual Attire:
We ask that ladies wear appropriate cover-ups over their swimsuits while dining at our restaurants and that gentlemen wear shirts. Footwear is required. No wet bathing suits, please.

- Links, an American Grill: Proper resort attire.
- Harbourside: Casual attire.
- Harbour Town Bakery & Café: Casual attire.
The Sea Pines Resort’s Golf Courses
Standard golf dress commensurate with the tradition of the game. Only appropriate golf attire may be worn on clubhouse grounds, golf course and practice areas. Apparel such as tennis shorts, cargo shorts/pants, denim shorts/pants, and t-shirts are considered inappropriate. Only golf shoes with soft spikes are permitted.
Sea Pines Racquet Club
Standard tennis dress commensurate with the tradition of the game.
Harbour Town Swimming Pool
Swimmers and sunbathers are asked to wear appropriate swimsuits. Cutoffs or gym shorts are not permitted while swimming in the pool. Children still in diapers must wear protective swimming pants or swim diapers.
The Sea Pines Resort Fitness Center
Appropriate exercise clothing and athletic shoes are required for use of the fitness center. Shirts are to be worn at all times.
Cell Phones: For safety reasons and for the enjoyment of others around you, the use of cellular phones is not permitted in our fitness areas or locker rooms. In the case of an emergency wherein a call must be answered, please do so discreetly, turn off the equipment in use, and move to the lobby area or outside.
Resort Wide
The Sea Pines Resort operates family-oriented facilities. Interpretation and enforcement of the dress code is at the sole discretion of the management staff at each location.
Smoking is permitted only in designated areas.
